This Privacy Policy explains how Talaria Power Tech (HongKong) Co., Limited collects, uses, stores and protects personal information. It applies to the website at www.talariapower.buzz, to correspondence sent to our desk and to information gathered when a fleet operator, rider, supplier or visitor works with our bays. The developer name Talaria Power appears throughout our engineering history and is used here to identify the team responsible for the systems described in this notice. This introduction is deliberately brief; the sections that follow set out the detail.
We are a small integrated systems house. We do not run advertising networks, we do not broker data and we do not sell personal information to third parties. Our work is to design, build, test and hand over power packs, chargers and fleet conversions, and the information we hold is limited to what that work requires.

1. Who We Are
The organisation responsible for the processing described in this notice is Talaria Power Tech (HongKong) Co., Limited, a company incorporated in Hong Kong and registered at Rm 704 Cheuk Nang Centre, 9 Hillwood Rd, Tsim Sha Tsui, Hong Kong - 999077, Hong Kong (HK). We operate the website at www.talariapower.buzz and the power pack, charger and conversion services described on it.
Where this policy refers to we, us or our, it refers to Talaria Power Tech (HongKong) Co., Limited. Where it refers to you, it refers to the individual reading this notice, whether a fleet manager, a rider, a technician, a supplier contact or a visitor to our website.
Our desk can be reached by email at direct@talariapower.buzz and by telephone on +15515527126. Written correspondence may be addressed to the registered office shown above.
2. Scope of This Policy
This policy covers personal information processed through our website, our email correspondence, our telephone enquiries, our engineering records and our commercial relationships. It also covers information generated by battery packs, chargers and conversion projects that we supply, to the extent that such information can be linked to an identified or identifiable individual.
This policy does not cover websites operated by other organisations, including payment providers, logistics partners or industry portals. Those organisations maintain their own privacy notices, and we encourage you to read them before submitting information.
Where we process information on behalf of a fleet operator under a written agreement, that operator is the party responsible for the processing and we act as its service provider. In those circumstances the operator privacy notice governs the relationship, and this policy describes our own safeguards.
3. Information We Collect
The information we collect falls into several practical categories. We collect only what is needed to answer an enquiry, to deliver a build, to support a unit in service or to meet a legal obligation.
Identity and contact information
- Name, job title and employer or fleet affiliation.
- Business email address, telephone number and messaging handle used for the enquiry.
- Delivery or collection address for parts, packs and chargers.
- Billing contact and purchase order references for commercial orders.
Project and service information
- Descriptions of the fleet, routes, depots and charging arrangements supplied by you.
- Serial numbers of packs and chargers already in service with you.
- Records of balance windows, tune reviews and range sittings that we carry out.
- Notes taken during calls, visits and written correspondence about a project.
Technical information from the website
- Internet protocol address, browser type and version, device type and operating system.
- Pages requested, time of request and referring address.
- Aggregate counters used to understand which pages are useful and which need improvement.
Information you choose to provide
- Messages sent through the contact form, which are passed to your own email application.
- Attachments such as photographs of a pack or a charger, wiring sketches or route maps.
- Feedback and follow up notes after a sitting or a handover.
4. Sources of Information
Most of the information we hold comes directly from you. You may provide it through the contact form, by email, over the telephone, during a site visit or through a written order. You decide what to share, and you may decline to provide details that are not necessary for the task at hand.
Some information is generated by our own systems. When a pack passes through a bay, the build station records the time of the operation, the operator initials and the measured values. When a charger is tested, the bench records the thermal rise and the cut off point. Those records are linked to a unit serial number and, where relevant, to the fleet account that ordered the work.
We may also receive information from a colleague or employer within the same fleet who arranges a project on your behalf, from a logistics partner who confirms a delivery, or from a supplier who needs to reach the technical contact for an order. Where information arrives in this way, we use it for the purpose for which it was shared.
5. Legal Bases for Processing
We rely on several legal bases, depending on the purpose. Where the law of your jurisdiction requires a particular basis, that basis is identified here for transparency.
- Contract: we process information where needed to take steps at your request before entering an agreement, or to perform an agreement for goods and services.
- Legitimate interests: we process limited information to run our business, answer enquiries, keep engineering records and protect our systems, provided that those interests are not overridden by your rights.
- Consent: we process information for optional communications, such as a technical update, only where you have given consent, and you may withdraw that consent at any time.
- Legal obligation: we process information where we are required to keep records for accounting, tax, product safety or regulatory purposes.
Where we rely on legitimate interests, we have considered the nature of the information, the expectations of the individual and the sensitivity of the context. Where the balance shifts, we will seek consent instead.
6. How We Use Information
We use information for a small number of clearly defined purposes. The list below is intended to be complete enough that you can understand what happens after you contact us.
- To answer enquiries about packs, chargers, conversions, balance windows, tune reviews and range sittings.
- To prepare quotations, schedules and technical plans for a project.
- To deliver goods, arrange collection and manage returns or replacements.
- To keep engineering records that allow a unit to be supported throughout its service life.
- To investigate a fault, a performance drop or a safety concern reported by a fleet.
- To meet accounting, tax and product documentation obligations.
- To improve the website, the bays and the written handover materials we provide.
- To send an optional technical update where you have asked to receive one.
We do not use personal information for automated decision making that produces legal effects, and we do not profile website visitors for advertising purposes.
7. Engineering and Telemetry Records
A power pack is a long lived object, and the record that travels with it is part of the product. Our engineering records contain build sheets, cell lot references, torque values, continuity results and matching notes. They may also contain the name of the technician who performed an operation and the account contact for the fleet that ordered the unit.
Where a pack or charger reports telemetry, such as state of charge, temperature or fault codes, that telemetry is associated with a unit serial number rather than with a person. If a serial number is linked in our records to a named contact, the combined record is treated as personal information and protected accordingly.
Telemetry is used to support diagnostics and to compare a unit against its batch. We do not sell telemetry, and we do not share it with parties outside the service relationship except as described in the sharing section of this notice.
8. Charger and Battery Logs
Charger logs record the behaviour of a charging session, including the start and end time of a charge, the thermal rise of the case and the cut off condition. These logs help a fleet plan a night window and help our desk diagnose a recurring trip on a cold morning.
Battery logs record group voltages, balance activity and the profile currently active on the management board. When a tune review is requested, we examine those logs against the riding pattern that the fleet describes.
Logs are retained for the periods described later in this policy. Access is restricted to the technical staff who need the record for a support or review task. Logs are not used to monitor the location of any individual except where a fleet operator has explicitly requested a diagnostic that requires such data.
10. Website Analytics
We collect aggregate information about how the website is used. This information includes the number of visits to a page, the device category and the general region from which a request originated. Aggregate information is used to decide which pages need clearer wording and which pages are working well.
Where analytics tools are used, we configure them to avoid collecting unnecessary detail. We do not attempt to identify individual visitors from analytics data, and we do not combine analytics data with engineering or commercial records.
Server logs are kept for a short period for security and troubleshooting. These logs contain the internet protocol address associated with a request and may be examined if a security incident occurs.
12. Service Providers
We use service providers for hosting, email delivery, accounting and logistics. Each provider is selected with care and is bound by a written agreement that requires confidentiality, security and a limitation on the use of information to the services they provide to us.
Service providers do not have independent rights to use our records. Where a provider processes information outside Hong Kong, we take steps to ensure that the transfer is lawful and that an appropriate level of protection is maintained.
We review provider arrangements periodically, particularly where a provider handles engineering records or charger logs. A provider that cannot meet our requirements is replaced.
13. International Transfers
Our quarter is in Hong Kong, and most of our processing takes place there. Some service providers operate in other jurisdictions, and some fleet operators are based outside Hong Kong. Where information moves across a border, we rely on contractual safeguards, standard data protection terms or another lawful transfer mechanism.
Before a transfer is arranged, we consider the sensitivity of the information, the legal framework of the destination and the practical safeguards available. Where a transfer presents an unacceptable risk, we look for an alternative arrangement that keeps the information within a jurisdiction we consider appropriate.
You may ask for more detail about the safeguards used for a particular transfer by contacting the desk at direct@talariapower.buzz.
14. Retention Periods
We keep information only for as long as it is needed. The periods below are our standard practice; a specific project may require a longer period where a warranty, a safety investigation or a legal obligation applies.
- Website enquiry correspondence: up to 24 months after the enquiry is closed.
- Quotations that do not become orders: up to 18 months from issue.
- Commercial order and invoice records: seven years, to meet accounting and tax requirements.
- Build sheets and engineering records for a unit: the service life of the unit plus five years.
- Charger and battery logs: 36 months from the session, unless a fault investigation is open.
- Server and security logs: 90 days, unless an incident requires a longer hold.
When a retention period ends, records are deleted or anonymised. Anonymised records may be retained for statistical purposes because they no longer identify an individual.
15. Security Measures
We apply technical and organisational measures that are proportionate to the information we hold. Access to engineering records is limited to staff with a need to know, accounts are protected with strong authentication, and devices are kept updated with current security patches.
Paper records kept at the quarter are stored in locked cabinets. Visits are accompanied, and photographs of records are not taken without permission. Electronic records are backed up so that a device failure does not destroy a build history.
If a personal data breach occurs, we assess the risk, contain the incident and notify affected individuals and the relevant authority where the law requires it. We keep a record of the incident and the remedial action taken.
16. Your Rights
Subject to the law of your jurisdiction, you may have the following rights in relation to your personal information.
- The right to be informed about how your information is used, which this notice provides.
- The right to request access to the information we hold about you.
- The right to request correction of information that is inaccurate or incomplete.
- The right to request deletion where there is no overriding legal or contractual reason to retain it.
- The right to restrict processing while a concern is investigated.
- The right to object to processing based on legitimate interests.
- The right to data portability, where processing is based on consent or contract and is carried out by automated means.
- The right to withdraw consent at any time, without affecting the lawfulness of earlier processing.
To exercise a right, write to direct@talariapower.buzz with enough detail for us to locate the relevant records. We may ask for proof of identity before acting on a request, to avoid disclosing information to the wrong person.
17. Access and Correction Requests
An access request should describe the information you are seeking and, where possible, the period and the context, such as an order number, a unit serial number or the name of the contact who handled the matter. A clear request helps us respond quickly.
We aim to acknowledge a request within five working days and to provide a substantive response within thirty days. Where a request is complex, for example because it spans several projects, we may extend the period and will explain the reason.
Where a correction is made, we notify any recipient who received the earlier record, where it is practicable to do so. Where a request is refused, we explain the legal ground for the refusal and the route for a complaint.
18. Privacy for Children
Our services are directed at businesses and at adult professionals. We do not knowingly collect personal information from children. If you believe that a child has provided information to us, contact the desk and we will delete the record promptly.
Where a fleet operator employs young workers, the operator is responsible for ensuring that any information about those workers is shared with us lawfully. We ask operators not to send us identity documents unless a specific legal requirement makes it necessary.
A pack or charger is not a consumer toy. Our documentation is written for trained technicians, and we do not direct marketing material at minors.
19. Marketing Communications
We send technical updates only where an individual has asked to receive them. You can unsubscribe from an update by following the link in the message or by writing to the desk. Unsubscribing from an update does not affect messages that are necessary to deliver a product or to support a unit in service.
We do not rent or sell contact lists. Where an update is shared with a supplier or a partner, the message is sent by us and the partner does not receive the contact list.
If you receive a message that appears to come from us but looks unfamiliar, please forward it to direct@talariapower.buzz before responding. We would rather check a suspicious message than have a contact exposed to a phishing attempt.
20. Third Party Links
Our website may include links to external sites, such as a logistics tracking page or an industry standards body. Those sites are not controlled by us and maintain their own privacy notices. Visiting an external link is subject to the notice of that site.
We do not embed third party advertising or social media tracking pixels. Where an embedded resource is used, such as a map, we describe the purpose and limit the data shared to what the resource needs to function.
21. Changes to This Policy
We review this policy when our services, our systems or the law change. When a change is material, we update the date at the top of the page and, where appropriate, notify active contacts by email.
Earlier versions of the policy are kept for reference and can be requested from the desk. Continuing to use the website after a change takes effect indicates acceptance of the updated notice, to the extent the law permits.
If a change concerns the way engineering records or charger logs are handled, we will highlight that change specifically rather than relying on a general update note.
22. Complaints and Escalation
If you are unhappy with the way we have handled your information, please tell us first. Write to direct@talariapower.buzz with a description of the concern and the outcome you are seeking. We aim to acknowledge a complaint within five working days and to provide a response within thirty days.
If you remain dissatisfied, you may complain to the data protection authority in your jurisdiction. In Hong Kong, the relevant authority is the Office of the Privacy Commissioner for Personal Data. We will cooperate with any investigation and provide the records requested within the time allowed.
We keep a record of complaints and their outcomes so that patterns can be identified and corrected. A complaint record is retained for three years and is handled with the same confidentiality as other personal information.
